How to Pass ATS Filters on Workday and BambooHR

Two systems, two different feels
Workday usually means a large employer and a long, structured application. BambooHR usually means a smaller company where a few people handle hiring. The same resume works for both if it's plain and true, but you spend your effort in different places.
This page keeps to what the vendors state. Where their pages told me nothing, I say so. Be wary of any blog that claims to know hidden rules.
Workday: what the documentation confirms
Workday's administrator documentation on candidate accounts says:
- Candidates can register an account on an employer's external career site.
- Administrators can require a Candidate Home account for all job applications.
- Candidates with an account can be asked to complete questionnaires, give more information, schedule or cancel events, sign electronic documents, upload government IDs and take assessment tests.
- Workday uses the language chosen in your account settings for communications.
- Two candidates with separate accounts can be merged if neither has completed a Job Application event.
Workday's talent acquisition page adds that candidates can import details from social profiles, that AI extracts skills from resumes to recommend jobs, that candidates can check application status, and that recruiters and hiring managers stay involved in evaluation. I found no vendor page that spells out resume file types or parsing rules for Workday candidates, so I won't state any.
Practical steps for Workday
- Create the account with an email you'll keep checking. Save the login in a password manager. You'll return to the same employer's site more than once.
- Expect to upload a resume and still retype parts of it. Treat parsed work history as a draft. Check every job's title, company, dates and description before you continue.
- Enter dates in the same format as your resume. Mismatches create doubt.
- Treat the questionnaire as part of the application. Answer in full sentences wherever there's a free-text box, using specifics.
- Keep a copy of every answer you give. Questionnaires repeat across postings at the same employer.
- Keep your resume plain: one column, standard headings, text you can select. The layout list in the Greenhouse and Lever guide is a sound baseline here too, even though it comes from Greenhouse's own parsing page.
- Watch your email and the Candidate Home page after you apply. Assessments and scheduling requests arrive there.
BambooHR: what I could confirm
BambooHR's applicant tracking page describes automated, personalized emails at each stage, interview times chosen from options the employer sets, offer letter templates and e-signatures. It says nothing I could find about resume parsing, scoring or AI screening. BambooHR's help center pages did not load for me, so no vendor-confirmed file limits or form rules appear here.
What follows is general advice and no vendor says it. On a small team, a person usually opens each application. That means the top third of your resume and your free-text answers count for more than keyword density.
Practical steps for BambooHR postings
- Lead with a two-line opener on what you do and where you've done it. Use the job's title where it's true.
- Put your best three bullets for this job first.
- Answer the company's custom questions with care. The hiring manager wrote them, and a specific answer stands out against generic ones.
- Use a plain file type, no graphics, text you can select.
- Check that the confirmation email arrived. If it didn't, look in spam, and apply again only if the site shows no record of your first try.
